Workshop Organisation Tool
For administrations with very strong departments or directorate structures and conflicting interests, external process moderators should be involved. They organise work formats or reflect the results, while the administration creates the content. (Describes organisation of workshops)
The following checklist can be used to organise and conduct the kick-off workshop:
Preparatory work
- Identify experts and supporters for the Smart City Initiative, determine workshop participants
- Create profiles / short presentations on planned / implemented Smart City solutions
- Define goals for the workshop, send out invitations
During the Workshop (Agenda)
- Creating common understanding: Presenting the Smart City concept, fields of action and transformation process
- Develop Smart City city vision (optional) (Description of City Vision)
- Presentation of the status quo of planned / implemented Smart City solutions, needs, framework conditions by responsible persons
- Prioritization of projects (optimization/requirements) in group work (e.g. according to importance and urgency)
- Define next steps with responsibilities (e.g. policy-strategic activities)
Reworking and external verification of the WS results
- Summarize the first results in an interim report, possibly combining them with press work and political-strategic activities
